The Google Ads Management Checklist for Health Practices (Weekly, Monthly, Quarterly)

Google Ads accounts do not fail loudly; they leak. A new irrelevant search term here, a creeping cost per click there, a broken tracking tag that nobody notices for six weeks. The fix is not more hours, it is a routine: a short, boring, scheduled review that catches leaks while they are small.
This is the routine we recommend to health practices managing their own account, calibrated for 2026, where Google's automated bidding does the minute-to-minute work and your job is supervision. Total time: about 20 minutes weekly, 45 minutes monthly, and one honest hour per quarter.
If you have not launched yet, start with the naturopathic ads playbook or the clinic version; this checklist assumes a running account.
The weekly 20 minutes
Same day each week, calendar-blocked. Four checks:
1. Read the search terms report (10 minutes). The single highest-value task in ads management. Open the actual searches that triggered your ads and act on two lists: add irrelevant terms as negatives ("jobs," "school," "free," conditions you do not treat, cities you do not serve), and note recurring relevant phrases you had not targeted, which are free keyword research for new ad groups and blog topics.
2. Scan spend pace and delivery (3 minutes). Is daily spend roughly on plan? Any campaign flagged "limited by budget" or, worse, not spending at all? A silent campaign usually means a disapproved ad or a billing hiccup; catch it this week, not next month.
3. Check for disapprovals (2 minutes). Health ads get flagged more than most; an appeal filed the week of a disapproval usually resolves, a stale one lingers.
4. Glance at cost per conversion, then stop (5 minutes). Compare this week's cost per booked visit or quiz lead against your max CPA from the patient-value math. One bad week is noise; two consecutive bad weeks earns a note for the monthly review. The discipline here is what you do not do: no bid fiddling, no pausing keywords on seven days of data. Automated bidding needs stability to learn, and weekly meddling is the most common self-inflicted wound in owner-managed accounts.
The monthly 45 minutes
5. Cost per booked patient, by campaign or service line. The only number that ultimately matters, judged against each line's max CPA. Over the ceiling two months running: fix the landing page first, ad copy second, keywords third, and only then bids.
6. Verify conversion tracking still works. Submit a test booking or quiz completion and watch it land in the account. Tracking silently breaks after website changes more often than anyone admits, and a month of optimization against broken data is a month of the algorithm learning the wrong lesson.
7. Review the ad copy tests. Each ad group should run two or three ad variants; keep the winner, replace the loser with a new challenger. One swap per ad group per month is plenty.
8. Landing page check. Click your own ads on a phone: page loads fast, matches the ad promise, form and booking work. Broken destinations waste spend invisibly; ours run on the same platform as the ads' quiz and email follow-up, which keeps this check short.
9. Location and schedule sanity. Any town or hour eating budget without producing bookings? Trim geographies and dayparts by evidence, not hunches.
10. Skim Google's recommendations tab skeptically. Apply what fits your strategy (relevant keyword suggestions, disapproval fixes), dismiss the rest. Auto-apply recommendations should be off; several defaults quietly broaden your targeting in Google's favor rather than yours.
The quarterly hour
11. Re-run the patient value math. Fees, splits, and show rates drift; your max CPA should follow. The calculator in the ads playbook makes this a five-minute update.
12. Judge each campaign like an investor. Kill, hold, or scale, using 90 days of cost-per-booked-patient data. Scaling means raising budget on winners 20 percent at a time, not doubling overnight, which resets learning.
13. Match spend to capacity. Full schedule and a three-week wait? More budget buys frustration, not patients; fix capacity or shift budget to an underfilled service line, per the clinic guide.
14. Refresh the whole funnel behind the ads. Quarterly is the right rhythm to update quiz questions, rotate the lead magnet, and re-read the email sequence with fresh eyes. Ads decay slower than the pages behind them.
The judgment layer: when to change nothing
More accounts are hurt by over-management than neglect. Change nothing when: performance is inside your CPA target (even on a weird week), a campaign is under three weeks old, or you changed something under two weeks ago and are still reading its effect. Every change restarts a learning period; the skill that separates profitable owner-managed accounts from churning ones is sitting on your hands between scheduled reviews.
Frequently asked questions
How long should this take once I am practiced? The weekly pass compresses to 10 minutes on a healthy account. If it regularly takes an hour, the account structure is too complicated; simplify to one campaign per service line.
When should I hand this to an agency? Past roughly $5,000 a month in spend, in cut-throat metro markets, or when the weekly block keeps not happening. An unmanaged account is the one situation worse than agency fees.
Which automated bid strategy should a practice use? Maximize Conversions once tracking is verified, moving to a target CPA once you have 30-plus conversions a month. Manual CPC in 2026 is a hobby, not an edge.
My cost per click jumped this month. Panic? Not if cost per booked patient held; auction prices move seasonally and competitively. Diagnose only when the patient-level number breaks your ceiling.
What is the most commonly skipped item on this list? The monthly tracking verification, by a mile. It is also the one whose failure quietly poisons every other number, so if you skip anything, never that one.
Make the checklist smaller
Half of this list exists because most websites cannot be trusted: pages slow down, forms break, tracking drifts. Hiveality shrinks the checklist by making the destination reliable: fast landing pages and funnels, quizzes that capture and tag leads, email flows that nurture them, and booking with tracking built in, plus Agent Bee to rebuild any piece on request.
