What you can do with Contacts

Contact table basics

The Contacts table shows each contact as a row with configurable columns. On desktop, click a column header to sort. When you change the sort, the table returns to the first page so the first matching results are visible. Sort controls appear only on columns Hiveality can order consistently with your current filters. On mobile, contacts appear as cards, and you can pull down to refresh.

Use the columns control (sliders icon) to:

  • Show or hide columns
  • Reorder columns with drag and drop
  • Search columns by name
  • Add imported or custom-field columns only when you need them. Newly discovered custom columns stay hidden until you choose them, which keeps large contact tables faster to scan.

Search and filters

The table toolbar includes quick filters and an advanced filter builder:

  • Search contacts... searches names, email addresses, and phone numbers, including partial matches, and works alongside your current sort and other filters.
  • Tags, Lists, and Company Filters let you include or exclude items (use the AND/OR toggle in each picker).
  • Tag and list include/exclude changes apply immediately. Large tagged or listed groups keep pagination and counts responsive while you move between pages.
  • Supported column sorts are applied before filtered results are paged, so each page follows the selected order when you combine filters.
  • Date uses a date range picker with presets.
  • Members filters by contact/member status (Contacts, Members, Invited, Active, Disabled).
  • Subscribers filters by email subscription status (Subscribed, Unsubscribed, Bounced, Complained, Pending, Unknown).
  • Access filters by access rules (courses, communities, events).
  • Custom Filters lets you build field-based rules (Name, Email, Phone, Address, Custom Fields, and more).

Use Clear All to reset search, tag, list, company, member, subscriber, access, date, custom, and column filters, then return the table to the first page.

Saved segments

Segments save a reusable Contacts view. When you select a saved segment, Hiveality reapplies the saved search term, tag and list includes or excludes, company filters, date range, member status, subscriber status, access rules, and custom field filters.

Use saved segments when you repeatedly review the same audience, such as active members with a certain tag, subscribers with a specific custom-field value, or contacts who have access to a course or community.

Bulk actions

Select contacts using the checkbox column to open the bulk action bar. From there you can add or remove lists and tags, add contacts to a flow, manage member access, update subscriber status, export, or delete.

Exports use your current selection and filters. When you include tags, lists, company details, addresses, or custom fields, Hiveality prepares those fields for the exported rows instead of forcing them into the table view first.

Email deliverability checks

If your role includes contact settings, open the settings button in Contacts and choose Verify Email Deliverability.

  • Choose a creation window: All time, Last 7 days, Last 30 days, or Last 90 days.
  • Choose the scope: Subscribed only or All active contacts with email.
  • Keep Skip emails verified in the last 90 days on when you only want to check contacts that have not been reviewed recently.
  • Review the estimate before starting. It shows unique emails, contacts in scope, total website contacts, active contacts with email, subscriber status counts, recently skipped addresses, duplicate addresses, and available verification credits.
  • After the job starts, the dialog shows progress plus deliverable, undeliverable, risky, and unknown result counts.
  • If you reopen a running check, Hiveality refreshes the latest status and applies larger result sets in batches so progress can continue without blocking contact review.

Undeliverable results update matching contacts so future filtering and send review can treat those addresses appropriately.

Website AI Chat contacts

When Website AI Chat captures a visitor's name, email, or phone during a conversation, Hiveality can create a new contact or update the existing matching contact.

If the visitor matches a contact that was previously removed from the active list, the new capture restores the contact record so the latest conversation, form submission, or follow-up activity stays attached to one history.

Captured chat contacts appear in the same Contacts table as form submissions, quiz completions, booking invitees, and imports. Their activity feed can include chat context such as the source page, first capture, and important follow-up signals, so you can review the conversation before sending a personal reply.

Contact records can also show Website AI Chat insights such as lead temperature, service interests, concerns, topics, blockers, booking interest without a completed booking, and staff review needs. Voice chats use the same contact record and can be reviewed from the saved transcript.

Activity feed context

The contact activity feed groups related email events when possible, so one message can show a clearer sent, delivered, opened, clicked, bounced, spam complaint, or unsubscribe path.

Activity rows also include more context for flow and board activity:

  • Flow rows can show the flow name, step name, wait type, and an open-flow shortcut when available.
  • Board rows can show the board, card, stage movement, and message-skip context.
  • Email rows can include the campaign or flow source and a preview shortcut for saved email content.
  • Form, quiz, survey, booking, and personal email rows can show names, source details, and event labels when those details are available.
