Editing Contacts

Update contact details, notes, tasks, and member access.

Overview

Contacts open in a detail slideout where you can update fields, track activity, and manage member access. Changes save as you edit.

Open a contact

Go to Contacts

Go to Contacts.

Click a contact row (or tap a card on mobile).

Use the tabs

Switch between Details, Activity, Notes, Tasks, and Member.

Details tab

Use the Details tab to update:

  • Basic Information: Name, Email, Phone, and Company
  • Address: Street Address, City, State, Postal Code, Country
  • Additional Fields: Job Title, Birthday, Website, LinkedIn, Twitter, Facebook, Instagram
  • Custom Fields: Your custom field types (text, number, date, boolean, select)

Each inline change stays on its previous value until the save succeeds. While a field is saving, Hiveality prevents a second save for that field. If another contact already uses the email address, or a selected company is no longer available, the field stays open and shows what to fix instead of appearing to save a partial change.

Phone editing includes a searchable country and calling-code picker. Choose the country first, enter the local number, and save only after the field shows a valid international number. Existing international numbers reopen with their saved country selection.

Email editing safeguards

If a contact email is linked to HiveKey authentication, the email field is locked. Click the field to open Unlock email editing?, then choose Unlock.

If the contact is marked as Unsubscribed, Bounced, or Complained, you’ll see Confirm email change before the edit is saved.

SMS status

When SMS is configured, the Details tab shows permission for each SMS program, active blocks, and recent consent history.

  • Use Record opt-in only when you have valid existing consent. Select the exact program, record the consent source and original date, and confirm the attestation before saving.
  • Use Opt out to add a do-not-contact block for the selected program. An older opt-in does not override that block.
  • Add or correct the contact's phone number before changing SMS status.
  • A complaint, provider block, STOP reply, or other active suppression cannot be cleared by entering another administrator attestation.

Lists and tags

Use the Lists and Tags sections to add or remove list and tag assignments for the contact.

Edit lists

In the Lists row, click Edit Lists to open the list selector. From here you can:

  • Search lists by name
  • Check or uncheck lists to apply them to the contact
  • Sort by Newest, Oldest, A–Z, Z–A, Checked, or Unchecked
  • Add a new list by typing a name and pressing Enter
  • Rename or delete lists using the list actions

Click Save Lists to apply your selections.

Edit tags

In the Tags section, use the tag manager to:

  • Search tags by name
  • Check or uncheck tags to apply them to the contact
  • Sort by Newest, Oldest, A–Z, Z–A, Checked, or Unchecked
  • Add a new tag by typing a name and pressing Enter
  • Rename or delete tags using the tag actions

Click Save Tags to apply your selections.

If someone deletes a selected tag while the manager is open, Hiveality removes the unavailable tag from the selection, saves the remaining available tags, and shows a warning. Other save failures still leave the contact unchanged and show what needs attention.

Activity tab

Review a timeline of key events, including form submissions, email activity, member actions, and access changes.

Booking activity rows can show submitted booking details from custom invitee questions. If the activity is linked to a booking, open the booking detail from the row to review schedule, staff, location, and submitted details together.

When an email activity includes the sent message, click the activity row to open the email preview drawer. The preview shows recipient, sender, delivery status, style, HTML preview, and plain-text view when available.

Send a quick email

If the contact has an email address, use the mail icon in the contact header to send a one-off personal email.

  • Add a subject and message body.
  • Use basic markdown for paragraphs, lists, and links.
  • Choose plain or branded style.
  • After sending, refresh the activity tab to review the saved send.

Notes tab

Add internal notes, edit existing notes, or delete notes when they are no longer needed.

Tasks tab

Create reminders and follow-ups, then mark tasks complete as you work through them.

Member tab

The Member tab centralizes membership status and access:

  • Invite Member or Resend Invite to send a member invitation
  • Disable or Enable a member
  • Access lists courses, communities, and events the contact can access
  • Grant access adds new access; Revoke removes access

Subscriber status is shown near the top of the slideout. Click the status badge to open Subscriber status, then choose Unsubscribe or Resubscribe. If a contact was previously unsubscribed, you may be asked to confirm with Resubscribe anyway?
