Send and Schedule Campaigns

Send immediately or schedule a campaign for later.

What this does

Campaigns can send immediately or at a scheduled date/time. You can also pause, resume, or cancel a send.

After a campaign is scheduled or sent, the editor switches to a locked review mode so the exact audience and email that were queued stay consistent.

Before you start

  • Make sure Estimated recipients is greater than 0.
  • Confirm the email design is ready. Use Send a Test Email first.
  • Make sure an email is linked in Campaign Email Settings and saved with real content.

Steps

Choose when to send

In Sending time, choose one:
- Send immediately when confirmed
- Send on specific date

Pick a date if scheduling

If you selected Send on specific date, choose Pick date & time. The picker prevents past dates and keeps your selected time visible while the campaign saves.

Review before confirming

Click Review Send (or Review Schedule) and confirm audience, timing, and email readiness.

Confirm send

Use Send now or Schedule campaign in the confirmation dialog.

Manage a send in progress

After confirming a send, open the Performance tab to monitor progress.

Use the Send status panel to:

  • Pause a scheduled or sending campaign
  • Resume a paused campaign
  • Cancel a scheduled, sending, or paused campaign
  • Unschedule to Edit for scheduled campaigns when you need to return to draft mode
  • Retry failed recipients after a send
  • Continue send when a send still has queued recipients but no worker is actively processing them
  • Review Recent failure reasons for the latest failed recipients

Retry and continue actions reuse the latest send attempt instead of rebuilding the campaign from scratch. Failed recipients are re-queued without resending to recipients that already completed successfully.

Recent failure reasons are written for operators, so temporary delivery issues and unconfirmed delivery states use plain messages with a clear next step.

If a campaign is already in review mode and you want to send a changed version, use Duplicate Campaign.

Review mode details

When a campaign is scheduled or has already started:

  • The setup tab becomes read-only.
  • The audience and recipient count shown are the saved send snapshot for that run.
  • The saved count reflects contacts eligible for that campaign type after subscription and topic rules are applied. During large sends, Hiveality keeps the prepared recipient list tied to that saved snapshot so review mode can compare the final prepared count with the original estimate.
  • The email preview shows the exact sent snapshot when available.
  • The Contacts tab shows recipient-level status for that run (with search/filter/export tools).

Status meanings

  • Draft: saved but not scheduled or sent
  • Scheduled: queued to send at a specific time
  • Sending: actively sending batches
  • Sent: send completed
  • Paused: send paused by a user
  • Canceled: send canceled by a user
  • Archived: campaign is archived

If send confirmation is blocked

If you see an error that the campaign email is empty, open Campaign Email Settings, add content in the email designer, save, and retry.
