Zoom Meetings
Connect Zoom so staff can generate unique meeting links for bookings.
Connect Zoom when staff should receive unique meeting links for bookings that use Zoom as the meeting location. Each staff member connects their own Zoom account from Hiveality.
What this integration does
- Connects a staff member's Zoom account to their Hiveality booking profile.
- Creates a scheduled Zoom meeting when a client books an eligible Zoom event.
- Adds the Zoom join link to the booking confirmation and booking details.
- Updates the Zoom meeting when the booking is rescheduled.
- Deletes the Zoom meeting when the booking is cancelled while the Zoom connection is active.
- Reads the connected Zoom profile so Hiveality can show which Zoom account is connected.
Hiveality does not import Zoom recordings, meeting audio, video, chat messages, or transcripts.
Before you start
- The staff member must have a Zoom account.
- The staff member must be added under Staff.
- The staff member should sign in with their own Hiveality user before connecting Zoom.
- The event type must offer Zoom as a meeting location.
- If the Zoom app is still in testing, only approved beta testers may be able to connect it. After Zoom production approval, eligible staff can connect from the live app.
Add the Zoom app
Open Booking Staff
Go to Booking > Staff.
Open staff settings
Find the staff member who should host Zoom meetings and click Settings & Availability.
Open Calendar
Select the Calendar tab in the staff settings dialog.
Connect Zoom
In Zoom Meetings, click Connect Zoom.
Authorize in Zoom
Sign in to Zoom if prompted, review the requested permissions, and click Allow.
Confirm the connection
After Zoom sends you back to Hiveality, the staff settings dialog should show Connected with the connected Zoom account name or email.
If you start from a Zoom app listing, direct authorization link, or Visit Site to Add flow, continue to Hiveality when prompted, sign in, then follow the same Booking and Staff steps above. For connection issues, see Troubleshooting.
Configure Zoom for bookings
Open Event Types
Go to Booking > Event Types.
Edit an event type
Open the event type that should offer Zoom meetings.
Choose Zoom
In the invitee form and location settings, include Zoom as an available meeting location.
Check staff assignment
Assign staff who have connected Zoom when you want Hiveality to create unique Zoom meetings automatically.
Save the event type
Save the event type and test the public booking page.
For Zoom bookings, Hiveality tries the connected staff Zoom account first. If a connected account is not available, Hiveality uses the staff member's personal Zoom link, then the event-level Zoom fallback URL.
Use Zoom meetings
New bookings
When a client books an event that uses Zoom and the assigned staff member has Zoom connected, Hiveality creates a scheduled Zoom meeting for that staff member. The client receives the Zoom join link in the booking confirmation, and the team can see the meeting link in the booking details.
Reschedules
When a Zoom booking is rescheduled, Hiveality updates the related Zoom meeting with the new time and duration. The booking details and client-facing confirmation stay aligned with the updated appointment time.
Cancellations
When a Zoom booking is cancelled while the staff member's Zoom connection is active, Hiveality deletes the related Zoom meeting. If Zoom has already been disconnected, cancel the meeting directly in Zoom if it should no longer exist.
Reconnect Zoom
Use Reconnect Zoom when the connected account changed, Zoom asks for fresh authorization, or meetings are no longer being created.
Open staff settings
Go to Booking, open Staff, and choose Settings & Availability for the staff member.
Open Calendar
Select the Calendar tab.
Reconnect
Click Reconnect Zoom and approve the Zoom authorization again.
Remove or disconnect Zoom
Disconnect in Hiveality
Disconnecting in Hiveality stops future booking automation for that staff member's Zoom account inside Hiveality. To fully remove Hiveality from the Zoom account, also remove the app in Zoom.
Open staff settings
Go to Booking, open Staff, and choose Settings & Availability for the staff member.
Open Calendar
Select the Calendar tab.
Disconnect
In Zoom Meetings, click Disconnect.
After disconnecting:
- Hiveality stops creating, updating, or deleting Zoom meetings for that staff member.
- Existing booking records and saved Zoom join links remain visible for booking history.
- Personal Zoom links and event fallback links can still be used for future bookings.
- The staff member can reconnect Zoom at any time.
- The app may still appear in the connected Zoom account until it is removed in Zoom.
If you need already-created Zoom meetings removed, cancel the affected bookings before disconnecting Zoom, or remove the meetings directly inside Zoom.
Remove the app from Zoom
You can also remove Hiveality from your Zoom account. This applies whether the Hiveality Zoom app is publicly listed or unlisted; unlisted apps do not appear in Marketplace search, but they still appear in a Zoom user's added apps after authorization.
- Sign in to the Zoom App Marketplace.
- Click Manage in the top-right corner.
- Under Personal App Management, open Added Apps.
- Find Hiveality.
- Click Remove.
- Choose a reason if Zoom asks for one, then confirm removal.
After removing the app in Zoom, Hiveality can no longer use that Zoom account to create, update, or delete meetings. Disconnect the account in Hiveality as well, or reconnect Zoom if you removed it by mistake.
Data and permissions
Hiveality requests Zoom access only for booking automation:
- Read the connected Zoom user's profile, including account name or email, so staff can confirm which account is connected.
- Create scheduled meetings for eligible bookings.
- Update meetings when eligible bookings are rescheduled.
- Delete meetings when eligible bookings are cancelled.
Hiveality stores the connected Zoom account identity, authorization status, meeting IDs, meeting UUIDs when returned by Zoom, host IDs when returned by Zoom, and join links needed to keep bookings working. OAuth tokens are stored server-side and are not shown in the browser.
Existing booking history and meeting links are retained as part of your Hiveality account records unless they are deleted under your account retention or privacy request process. See the Hiveality Privacy Policy for data rights and privacy requests.
Troubleshooting
Connect Zoom is unavailable. Confirm the staff member is signed in to their own Hiveality account and has access to Booking. If the app is still in testing, only approved beta testers may be able to connect.
Zoom says the app is not approved or cannot be installed. The app may still be limited to testing users. Use a personal Zoom link or event fallback link until the production Zoom app is approved.
The wrong Zoom account is connected. Click Reconnect Zoom and authorize with the correct Zoom account.
A booking did not get a unique Zoom link. Confirm the event type includes Zoom as a location, the assigned staff member has Zoom connected, and the staff member was available for that booking. If needed, add a personal Zoom link or event fallback URL.
A rescheduled or cancelled booking did not update in Zoom. Reconnect Zoom for the staff member, then review the meeting in Zoom. If the connection was removed before the booking changed, update or delete the meeting directly in Zoom.
Zoom authorization fails. Try again in a fresh browser session, make sure pop-ups are allowed, and confirm you are using the same Hiveality website and staff profile you started from.
